Welcome Reception

A Welcome Reception will be held Sunday, July 21st from 6:00-8:00pm in the Grand Ballroom.

Conference Assistant Briefing    

The Conference Assistant Briefing will be held on Sunday evening @ 8:00pm immediately after the Welcome Reception in the Red Oak Conference Room.

All Conference Assistants should attend this meeting to receive important instructions and assignments for the conference.


Poster Presentation & Networking Social

The Poster Presentation & Networking Social will be held on Monday, July 22nd at 5:00pm in the Grand Ballroom.  This is a great opportunity to connect with others, stop by and talk to the poster presenters, and visit the vendor booths.  


Conference Student Appreciation Event

  • The Student Appreciation Event is for students 18 and over and will be held on Monday, July 22nd at 7:30pm at Flying Saucer.
  • Individual invites will be given out during the conference check-in process.
  • We will offer one drink tickets per person.
  • Food is available for purchase for those interested.
  • Anyone interested in consuming alcoholic beverages must have a valid ID with them for proof-of-age.
  • Note that Flying Saucer is within walking distance of the hotel and no transportation is needed.


Topic Editor, Session Chair, and Vendor Appreciation Event

This event is held to show our appreciation for the months of planning speaker sessions, as well as for the Vendors that have traveled to join us. Everyone is invited to join the Topic Editors, Session Chairs, Conference Organizers and Vendors for light appetizers and drinks in the Grand Ballroom on Tuesday, July 23 from 5:00-7:00pm.


Conference Excursion

The Excursion will take place on Wednesday, July 24 from 3:30–9:00 pm. Experience the heart of Texas culture with a visit to Billy Bob's, the world's largest honky-tonk. Located in the historic Stockyards District, Billy Bob's offers a unique blend of music, mechanical bull riding, and authentic Southern hospitality. With over 100,000 square feet of entertainment space, this iconic venue features multiple stages, dance floors, and bars, providing an unforgettable evening out. And make sure to join the free line dancing lessons at 7:00pm! 

Conference Networking Dinner

The Networking Dinner will be held on Thursday, July 25th at 6:00pm on the outdoor Hotel Terrace.

Closing Ceremony

  • The Closing Ceremony for CAARI-SNEAP 2024 be held on Friday, July 26th in the Rio Grande conference room at 9:00am.
  • All participants and accompanying persons are invited to attend the closing ceremony.  
  • The closing ceremony is being held before the morning session to ensure everyone can attend before leaving for the airport.
